Subscribers to business publications constitute another source of lists. Some controlled-circulation publications have readers fill out detailed questionnaires every year (for BPA purposes), and thus they have a variety of relatively current selections available on their subscriber lists. If a list is updated at least annually, or has monthly hotline subscribers, it can be a good source of prospects. A qualified list broker, experienced in the business-to-business market, is your best resource for locating business lists.

 

One way to avoid the problem of people moving is to address your mail by title only. Mail addressed by name and title is always preferable, when it's ac-curate, but many business marketers get good results with mail addressed by title only. Directories and compiled lists can become outdated in a couple of months, and sometimes names are just not available, so title addressing is a satisfactory alternative.

 

Before you spend your time compiling a universe of potential customers, explore the commercial lists available in your field, particularly those on CD-ROM. Compilers offer lists of executives by title and type of company. Lists are available covering most of the 10 or 11 million companies in the United States. Selections for compiled company lists include: top executives by name, number of employees, number of locations, sales, geography, creditworthiness, and type of business as indicated by Standard Industrial Code (SIC). And no matter which of the five you choose, by the middle of the first page you should have mentioned, or strongly implied, the details of your offer.

 

Although they appear unstructured on a page, DM letters are organized around a few points of emphasis. Here, in order of importance, are the parts of a letter with suggestions on how to use them. Headline and Lead. The headline, if you use one, and the first few paragraphs, attract the most attention.

 

Boxed Introduction. Instead of a headline, some copywriters begin a letter with a short paragraph or headline-like statement enclosed in a box at the top of the letter. It goes below the company name on the letterhead and above the address and salutation. You may do the same with e-mail.

Postscripts are read so consistently because they stand out. All the other paragraphs of a letter seem lumped together, but the P.S. stands alone in the white space beyond the signature. You should probably write the P.S. before you write the body of the letter, because people will read it in that order too. You may use a postscript with e-mail too, but make sure it closely follows your signature line so readers do not overlook it.

 

Postscript. Readership studies of conventional letters show that after the head and lead, the P.S. has the highest readership of any other part of a letter. Therefore, do not use it for "oh-by-the-way" copy. Use the postscript to emphasize one of your strongest benefits, a deadline, or some other critically important element of your offer..
